2 · What we keep

What should Ratably keep after reading this lease?

Choose one.

Whichever you choose: we never store the PDF, unless you choose to share one for accuracy testing (your choice, below), we don't keep your report or letter (download the report and copy the letter before you leave), we treat your lease as confidential, we never sell it and we don't use it to train AI models. To read it, we send its text to Google's Gemini model on Google Cloud, in the United States. Google does not train on it and, for our account, does not log or cache it. Remove Social Security, bank-account, and similar numbers before you upload; we also check what we keep for numbers like these and blank the ones we find.

Help us measure accuracy (optional)

Help us measure Ratably's accuracy. We're building the set of real leases and statements that lets us measure how accurately Ratably checks a CAM reconciliation against a lease. What we'd keep: a copy of this lease and, if you attach it, the year-end statement, plus the redacted version we make from them. What it's for: testing and measuring Ratably's accuracy only. We won't use it for our own statistics or to train any AI model, and we'll never share it outside Ratably and the processors on our subprocessor page. Redaction: before we use it for testing, we remove names, addresses, account numbers and anything else that identifies you, your landlord or your property, on hardware we own, using a model that runs there; your document is not sent to a cloud service for that. We keep the original only until it is redacted, 30 days at most. How long: up to 3 years, unless you withdraw sooner. Withdrawing: from your account page or by emailing legal@ratably.io; we delete your copies within 30 days. What you get: one free check, credited now. Many leases restrict sharing their terms. Check your lease's confidentiality clause before ticking below. If you're not sure, don't tick; ask your landlord first, or skip this. It won't affect your check.
