What we collect, what happens to the lease you upload, and who else touches it.
The part people ask about. We never store your PDFs, unless you choose to share one for accuracy testing (your choice, below). We read the lease, then delete the file. Each time you upload, you choose what we keep from it: nothing, or the figures your check uses. You can reopen or delete what you keep from your account. Our AI processor (Google Gemini) reads the text on Google Cloud, in the United States. Google does not train on it, and for our account it does not log or cache it either.
Who we are
Eminence Technologies LLC, 1500 N Grant St, Ste N, Denver, CO 80203, operating Ratably. Privacy questions go to support@ratably.io.
What we collect
| What | Why | How long |
|---|---|---|
| Email, name, and company name if you give it | To create and run your account | Until you close your account or ask us to delete it |
| Password, stored only as a one-way hash | To sign you in | Until you set a new password or close your account |
| The domain of your email address (the part after the @, not the address), and whether your account used the free Discovery check | So one company cannot claim the free Discovery check twice | Kept, including after you close your account |
| Terms acceptance: version, timestamp, IP address, browser | To show what you agreed to and when | Kept as a record, including after you close your account |
| Numbers you type into the free check | To run the arithmetic on our server and send the result back to your browser | Not stored |
| Lease text you paste into the free check | To look for the tenant name, square footage and cap on our server by simple pattern matching, and fill them into the check. It is not sent to our AI processor (Google Gemini) | Not stored |
| If you use the “get back to you” form: your email address, your square footage, and the figure the check produced | So a person can reply to you. We use your square footage and that figure to decide whom to reply to first | Until you ask us to delete it, or you close an account with that email address |
| If you arrive from one of our links that carries campaign tags: the tags, the page that referred you and the first page you opened | To see which of our posts and emails bring visitors | Kept in your browser until you clear it. Stored with your request or your account if you make one, and removed when you close the account. Free-check runs are counted by tag with nothing that identifies you. Not recorded when your browser sends Global Privacy Control. |
| If we write to you about Ratably at your business: your name, work email address, company, job title, and where we found them (public sources such as franchise disclosure filings and company websites) | To send you up to three emails about Ratably and to remember if you ask us to stop | Until you ask us to stop or 12 months after our last email, whichever is first. After that we keep only a scrambled fingerprint of your address so we never write again. |
| Lease PDFs | To read the terms your check is tested against | Not stored. Read, then deleted, whichever choice you make |
| What we read from a lease, if you choose Keep nothing at Ratably | To show it to you while you are on the page | Not stored, apart from its page count and whether we found a confidentiality clause (see the next rows) |
| The figures from a lease, if you choose Keep the figures only: square footage, base year, the cap and how it compounds, the management-fee limit, the objection window and the lease dates | So you can reopen them and check next year's statement against the same figures | Until you delete them under Your account or close your account |
| The terms extracted from your lease, for checks run before you could choose | Kept with your account against the check they came from. They are not listed under Your account | Until you delete everything we kept, close your account, or ask us |
| A name you type for a check, if you rename one under Your account (up to 80 characters) | So you can tell your checks apart in your own lists | Until you delete that check or everything we kept, withdraw the accuracy copy it names, or close your account |
| Reminders you ask for: that you asked for Texas property-tax date reminders, and when each one was sent | To send them | Until you switch them off or close your account |
| A record that a check ran: its date, the choice you made, page count, which model read it and its cost | Billing, and to show what we did | Seven years, like payment records, including after you close your account |
| Your choices at each upload: what to keep, whether your lease limits sharing, whether we found a confidentiality clause, whether statistics were allowed, a fingerprint of the wording you saw, the terms version, time, IP address and browser | To show what you chose and what you were shown | Kept as a record, including after you close your account |
| Generalised figures for our own statistics: bands for size, the cap and management-fee percentages, the objection window and the length of the lease, plus the cap type and whether there is a base year, from leases whose figures or terms you keep and for which you opted in | To learn which lease terms are common and improve our checks. Never published or shared | Read from what you keep, so they go when you switch statistics off, delete what we kept from the check or close your account |
| Payment records: amount, tier or pre-order (and how many of its buildings were used or refunded), date, Stripe identifiers | Tax and accounting records | Seven years, for our tax and accounting records |
| Server logs: request metadata and account events, which can include your email address and company name, but no document text | Security and debugging | 30 days, in a Cloud Logging bucket in the United States since 23 September 2026 (logs from before then stay in Google's global logging location until about 24 October 2026), including after you close your account; deleted when the 30 days end |
We do not collect card numbers. Payments go directly to Stripe, which handles them under its own privacy terms.
What we never do
- We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
- We do not use your documents to train AI models, and neither does our AI processor (Google Gemini) under the terms we are on.
- We do not log the text of your lease or statement.
- We do not publish or share our statistics outside Ratably. We do not share anything from your lease outside Ratably, except with the processors listed below to run the service, or where the law requires.
- We never count a lease in our statistics if you tell us it limits sharing, if we find a confidentiality clause in it, if it has pages we could not read, or if you kept nothing from it. Checks run before you could choose are never counted.
Who processes your data for us
Three companies (Google, Stripe and Resend), each for specific jobs. The current list, with what each one sees and where it processes it, is on the subprocessor page, which we update when it changes.
The AI processing, precisely
To read your lease we send its text to a Gemini model through Google Cloud's Gemini Enterprise Agent Platform (formerly Vertex AI), using Google's United States multi-region endpoint, so the model processes it only in the US. Google's Cloud terms forbid it from using the text to train or fine-tune any model without our permission.
Google normally logs prompts that its automated safety systems flag, for up to 90 days. On 28 September 2026 Google approved our request to turn that logging off for our Google Cloud account. We have also turned off the short-lived in-memory cache Google keeps by default, and we do not use the Google features that keep data regardless of these settings: grounding with Google Search or Google Maps, stored conversations, context caches and request logging. Once the model has answered, Google does not keep your lease text.
This is why the wording above says your PDFs are not stored rather than claiming the text disappears instantly. We would rather be accurate than reassuring.
Redact Social Security numbers, bank details and anything else you would not want processed before you upload. We do not remove them automatically from the text we send to Google.
What we keep is different. Before we keep anything from a lease, we check it for Social Security, bank-account, card and driver's licence numbers and blank the ones we find. The check is automatic and can miss a number, so please still redact before you upload.
Your choices
- See or correct your data
- Sign in and open Your account to see what we keep from checks run since you could choose what we keep. For anything older, or to correct your account details, write to support@ratably.io.
- Delete it
- In Your account, delete what we kept from one check or from all of them, or close your account; or ask us. What you delete is removed from our live database immediately and from our backups within 30 days, when those backups expire. Closing your account also deletes any lease terms you kept and the key that encrypts them. We keep payment records (Stripe, which takes payments, keeps its own under its privacy terms), the record of each check you ran, your email's domain but not the address, so one company cannot claim the free Discovery check twice, and the records of which terms you accepted and what you chose at each upload, for our tax, accounting and legal records.
- Our statistics
- Off unless you opt in. Tick it at upload to include that lease. Switch it on in Your account to include every lease from then on.
- Export it
- Ask and we will send what we keep from your checks (the figures, and the lease terms if you chose to keep them) in a machine-readable form. We don't keep reports or letters, so we cannot send those.
- Global Privacy Control
- We honour it. We do not sell data. If your browser sends it when you upload a lease, we switch our statistics off for your account.
- Marketing email
- Every marketing email has a one-click unsubscribe. Service emails, such as password resets and Stripe's payment receipts, continue while you have an account.
- Reminders
- Switch Texas property-tax date reminders on or off under Your account. Every reminder email also has a link that switches them off. Switching them off deletes what we kept about them from our live database immediately, and from our backups within 30 days.
Accuracy testing
If you separately agree, in writing, to let us keep a copy of a lease and statement for accuracy testing, we keep that copy, and any redacted version we make of it, for up to 3 years. We use it only to test and measure Ratably's accuracy, never for our own statistics or to train any AI model, and we never share it beyond Ratably and our listed processors. Redaction runs on hardware we own, using a model that runs there; your document is not sent to a cloud service for redaction. You can withdraw at any time by emailing support@ratably.io or from your account page; we delete your copies within 30 days.
Cookies and analytics
We use a session token to keep you signed in. We do not use advertising cookies or third-party trackers on this site. Our pages load their fonts from Google Fonts, which receives your IP address and browser details as part of that request, as any website you load does. We keep one note in your browser's local storage with the campaign tags and referring page of your visit from one of our links. It is ours alone, is not shared with anyone, and is not used to follow you on other sites.
Where your data is
The application and its database run on Google Cloud in the United States. The lease text we send to Gemini is processed in Google's United States multi-region and is not stored there. Ratably is offered only in the United States.
Children
Ratably is a business product and is not directed to anyone under 18. We do not knowingly collect information from children.
If something goes wrong
If personal information is exposed in a breach, we will notify affected people and the Colorado Attorney General as Colorado law requires, within 30 days of determining that a breach occurred.
Changes
We will post any change here and update the date at the top. If a change is material, account holders get an email before it takes effect.
What changed on 13 October 2026. Our AI processor (Google Gemini) now reads your lease text through Google Cloud's Gemini Enterprise Agent Platform in the United States. Google approved turning off its abuse-monitoring logging for our account, and we have turned off its default in-memory caching. Before this, the text went to the Gemini Developer API, where Google could keep it in abuse-monitoring logs for up to 55 days and could store or cache it in any country where it has facilities.
What changed on 24 September 2026. Before this, we kept the terms read from every lease with your account. Now you choose at each upload what we keep, and you can reopen or delete it yourself. We never kept your PDFs, and still do not. Nothing from checks run before this change is used for our statistics.
